Suggested setup

Zones
One zone per depot, yard, or regular customer site. Most small operations need between three and fifteen, which is well inside what one person can maintain by hand.
Schedule
Usually working hours only — 07:00–18:00 on weekdays. An out-of-hours zone around the depot is a common addition, alerting if a van moves at night.
Devices
OBD-port or hardwired trackers in each vehicle. Driver phones work if the vehicles are personal cars used for work.
Alerts
Email to a dispatcher or owner, in-app for the log. Most small operations want a record more than an interruption.

Fleet telematics is built and priced for large operations. Typical platforms run $20–45 per vehicle per month and bundle driver scorecards, dashcams, fuel-card integration, and compliance reporting.

If you run six vans, most of that is cost without benefit. The questions you actually have are narrow: did the van get to the customer, when did it leave the depot, and did anything move last night.

Those are geofence questions.

The two setups that cover most of it

Site arrival and departure. A zone around each regular customer site or your own depot. You learn when a vehicle arrived and when it left, without anyone being asked to check in. Over a week this quietly answers most scheduling disputes.

Out-of-hours movement. A zone around the yard, active 18:00–07:00. If a vehicle leaves overnight, you hear immediately. This is the setup that pays for itself the first time it fires.

How many zones is manageable

Somewhere between three and fifteen is comfortable to maintain by hand. Past about twenty, keeping them current becomes a job in itself — sites change, customers move, and stale zones generate confusing alerts.

If you need a zone per customer across hundreds of customers, you have outgrown this approach and want a platform with route planning and automatic site creation. Worth saying plainly rather than selling you something that will frustrate you at scale.

Drawing depot and site zones

Include the whole yard, not the building. A vehicle parked at the far corner of a depot should count as arrived.

Trace them with the geofence builder, and see GPS accuracy on why the margin matters.

Drive-past alerts

The common annoyance with site zones is a vehicle driving past on an adjacent road, clipping the zone, and registering as an arrival.

Two fixes. The better one is to draw the zone so it does not reach the through road — most depots have room for this. The other is to treat brief arrivals as noise when you read the log; see dwell time for the trade-off between filtering these out and delaying every genuine alert.

What you get and what you do not

If you need compliance reporting, you need a compliance platform — that is a regulated space and a general geofencing tool is the wrong answer. If you need to know whether the van got to the customer, this is a much cheaper way to find out.
